Budget System P&L Changes for S&A
Instructions for Using Budget P&L
The new P&L requires some changes in methods to generate an accurate P&L. All S&A schedules must have the same name as the budget set for that fiscal year or the P&L will not include the S&A cost in the P&L. The following steps are necessary to include S&A in the P&L. All S&A schedule work will be done in the Company Level Menu in the budget system.
Warning: The budget set G/L interface must be generated before units will appear on the P&L.
Copy S&A Sets - A copy function will be added to copy S&A from one set to another. The copy function will be in option 1 ‘Work With S&A Schedules’ in the Company Level Menu. Copying sets will be necessary early in the budget process to include a S&A cost in the P&L. For example, S&A set ‘7’ for fiscal year 1997 will be copied to S&A set ‘8 for fiscal year 1998. The copy will be made by the Budget System Administrator.
Work With S&A Schedules (option 1) - After selecting option 1, select the location you wish to work with. When the changes you wish to make have been completed (i. e. account alloc., mill alloc., etc.), generate a G/L interface by entering 5 in the ‘Opt’ field by the S&A schedule. You will be prompted to enter the fiscal year you wish to generate the interface for. Enter the year you wish to generate and press F19 to submit the job. If there are separate S&A schedules for a division and individual plants in that division, generate a G/L interface must be run for each S&A schedule.
Work With G/L Interfaces (option 11) - When the generate G/L interface has completed, it must be implemented or transferred to the corporate G/L system. After entering option 11, run the implement by entering 10 ‘Implement’ in the ‘Opt’ field on the left of the screen. Press enter and you be prompted to run the implement G/L interface. Press F19 to run the Implement G/L interface.
If a location is allocated in more than one S&A schedule, the individual plant schedule must be implemented first. Then the division schedule must be implemented. For example, division 36 has an individual schedule for bad debt expense. They are also allocated as part of the division 33 S&A budget. The division 36 schedule should be implemented first and then the division 33 schedule should be implemented.
Similar steps must be done at corporate for G&A to be correct on the P&L.
